Administrative Coordinator

FreeState Justice

Baltimore, MD and Remote

FreeState Justice is seeking a full-time Administrative Coordinator to organize an active work environment, respond to client, volunteer, and stakeholder inquiries, support scheduling and communications, maintain legal and compliance records, and coordinate administrative support for a LGBTQIA+ legal services and advocacy nonprofit.  The Administrative Coordinator will work directly under the supervision of the Director of Education and Outreach.  This key member of FreeState’s team helps the organization run efficiently and effectively.

Responsibilities: 

Administrative Support to Legal Department                               

  • First point of contact for current or prospective clients, coordinating communications, responding to service requests, providing resources or referrals, and scheduling intakes.
  • Conduct intakes in uncontested legal matters, including name changes
  • Screening for and verifying financial and material eligibility for services
  • Coordinate client communications, follow-up, and appointment scheduling.
  • Updating and maintaining client and case information and files.
  • Supporting and facilitating communications and scheduling for a pro bono attorney network

Office Coordination                                                            

  • Coordinate day-to-day operations of an active office environment, including answering phones, ordering supplies, providing printer and technology support, responding to email and website inquiries, supporting office correspondence, and supporting vendor relationships.
  • Maintain and update office systems and office operations manual.
  • Manage organizational registrations and compliance requirements.
  • Support data entry into our constituent relationship management systems
  • Update and maintain an organizational calendar.
  • Planning and logistics of internal team meetings, annual planning activities, staff professional development, and meetings of the Board of Directors.

Qualifications:  An ideal candidate will possess the following qualities:

  • Demonstrated commitment to serving low-income communities, including experience working with low-income transgender people, people of color, and other marginalized populations.
  • Experience with Microsoft Office suite, including but not limited to Microsoft Word.  
  • Experience with communication and workplace software (e.g. form development, email management, cloud databases, etc.)
  • Loves being organized with strong attention to detail and time management skills.
  • Self-motivated to problem solve and prioritize.
  • Excellent verbal and written communications skills.
  • Ability to work in an environment where maintaining client confidentiality is critical.
  • Ability to improve organization and efficiency in a working environment.
  • Ability to communicate warmly and professionally with others even in high-stress situations.
  • Previous experience in a role requiring good customer service preferred but not required.
  • Previous experience working in an office or providing administrative support and/or financial record-keeping a plus but not required.
  • Previous experience working in a legal environment is a plus but not required.

Salary:  $36,000 to $39,000 based on experience

Schedule:  Flexible 37.5 hours per week, Mon.-Fri., 9AM-5PM EST.

Location: Baltimore, Maryland and Remote. At least one day in-person in a COVID-consious office is requested but not required.
