FreeState Justice is seeking a full-time Administrative Manager who cares deeply about LGBTQ+ people to manage a hybrid office environment and provide comprehensive support to the staff executive team and the Board of Directors of a small, social justice oriented, legal services and advocacy non-profit.  The Organization Administrator will work directly under the supervision of the Executive Director.  We seek organized, IT-literate, and communicative candidates who have a deep passion for social justice.

Position Summary: The Administrative Manager manages the hybrid office environment, oversees meeting scheduling, preparation, and follow-up, supports financial processes, assists human resources functions, leads special projects, and provides executive assistant duties to the Executive Director and Board of Directors.  This key member of FreeState’s team helps keep the organization running efficiently.

FreeState Justice provides free legal representation and policy advocacy in areas arising from a person’s LGBTQ status, such as health care discrimination, safe and equal access to school services, family law matters, name, and gender changes, and discrimination in places of public accommodation.  Services, both legal and policy-focused, are provided by staff attorneys, as well as by volunteer attorneys who serve on FreeState’s pro bono panel, and student interns.

Supervises: Administrative Assistant, Interns

Responsibilities:

Administrative & Technical Management

  • Manage projects, delegate tasks, and supervise the work of part-time administrative support, interns, contractors, and/or volunteers
  • Organizing, filing, and recording mail, files, invoices, purchase orders, and receipts
  • Maintain and update an organizational calendar
  • Schedule, coordinate, and support organizational meetings and events
  • Answering phone calls and responding to voicemails and emails
  • Checking and maintaining office supply inventory, ordering new supplies as needed
  • Oversee information systems operations including hardware, software, desktop support, & telecommunications
  • Manage organizational registrations & compliance requirements
  • Manage or support vendor relationships, including events
  • Support the FreeState accountant’s activities including the record maintenance of certain expenditures, reimbursements, donations, and other financial data

Executive Assistant

  • Manage the Executive Director and staff directorate calendars and emails
  • Preparing or drafting emails, communications, agendas, minutes, reports, and presentations
  • Serve as the primary point of contact for the Executive Director on all internal and external matters, including confidential or critical issues, and determine appropriate course of action. 
  • Schedule, coordinate, and support Board events, Board meetings and Board Committee meetings. 
  • Support relationship management activities, including data entry and updates to relationship management systems
  • Developing, implementing and maintaining protocols, processes, and operations, including documentation, oversight, and evaluation
  • Oversee and coordinate staff, intern, board, contractor, & volunteer onboarding and orientation

Qualifications:  An ideal candidate will possess the following qualities:

  • 1-3 years of relevant work experience in an office or providing administrative support and/or financial record-keeping preferred
  • 1-3 years of supervisory or managerial experience preferred
  • Bachelor’s Degree OR 4-7 equivalent years of work experience
  • Evidenced self-motivated problem-solving skills related to information technology and managing special projects
  • Demonstrated commitment to serving low-income communities, including experience working with low-income transgender people, people of color, and other marginalized populations.
  • Experience with Microsoft Office suite, Google Workspace, and cloud-based software.  
  • Organized, strong attention to detail, and excellent time management.
  • Professional verbal and written communications skills.
  • Ability to work in an environment where maintaining client confidentiality is critical.
  • Ability to improve organization and efficiency in a working environment.
  • Ability to communicate warmly and professionally with others even in high-stress situations.
  • Previous experience working in a legal environment is a plus. 

Salary:  The salary range for this position is $45,000-$53,000 annually.

Schedule:  The Administrative Manager will have flexible work hours between 9AM-5PM. Occasionally, evening and weekend hours may be required. 

Location: Office is located in Baltimore, Maryland with a hybrid work environment. This position requires a minimum of two workdays per week in the office, on-site.
